Reviewing and Converting Event Proposals

Where to Find Proposals
Patrons can submit event ideas directly through the portal. To review them:
- Click Events (or Library Events) in the admin sidebar.
- Click the Proposals tab. All pending proposals are listed here.
Each proposal card shows the patron's name, the proposed event title, proposed date, event type, description, and any attached file.
Approving a Proposal
- Find the proposal you want to approve.
- Click Approve.
- The proposal status changes to Approved and the patron receives an in-app notification telling them their idea was accepted.
Rejecting a Proposal
- Find the proposal you want to decline.
- Click Reject.
- Optionally, type a short note explaining the reason (for example: "We already have a similar event scheduled for next month."). The patron will see this note in their notification.
- Click Confirm Rejection.
- The proposal status changes to Rejected and the patron is notified.
Converting a Proposal to an Event Draft
This is the fastest way to turn a good idea into a real event.
- Find the proposal in the Proposals tab.
- Click Convert to Event Draft.
- The system automatically creates a new Draft event pre-filled with:
- The proposal's title, description, and event type
- The patron's proposed date, with a default start time of 9:00 AM and end time of 11:00 AM
- The proposal is marked as Approved automatically. No separate notification is sent to the patron.
- The new draft appears in the Drafts tab of the Events list.
What You'll See
After converting, a success message appears and the proposal moves out of the pending list. Open the Drafts tab to find the new event and set the final time, location, capacity, and registration settings before publishing.
Tips
- You can download or preview any attachment the patron included before making a decision.
- Rejected proposals are kept for your records and do not appear to patrons in the portal.
- After converting, always review the draft event — the default times (9 AM–11 AM) are just a starting point.
