"The budget says insufficient when I approve a purchase order"

What you might see: An error message saying "Insufficient budget" when you try to approve a purchase order.

Why this happens: The purchase order amount is more than your available budget. Remember:

Available = Allocated - Spent - Encumbered

Other approved (but not yet received) purchase orders take up "encumbered" budget, which reduces your available amount.

How to fix it:

  1. Go to the Budget Dashboard and check your numbers.
  2. Look at how much is encumbered (tied up in other approved POs).
  3. Options:
    • Cancel other approved POs you no longer need (this releases their encumbered amount).
    • Increase the allocated budget for the current school year.
    • Split the purchase order into smaller orders that fit within the available budget.
